Epirent interface and many extensions
Dear clients,
the ability to transfer data from one software to another will become increasingly important in the coming years. Therefore we introduced an API interface several years ago, which allows you to access and modify data in CrewBrain.
More and more manufacturers now also offer interfaces for their software. For this reason, we are pleased to announce that we can now offer automated data transfer from Epirent to CrewBrain. We have also fully integrated the new task management into the API.
In addition to these changes, there are again many smaller useful adjustments and enhancements in the new version, which will be available to you as usual starting tomorrow. Among them is for example the possibility to manage holidays for different countries in the time recording.
And because that is not enough news for us, we are happy to announce that GigPlaner UG (haftungsbeschränkt) has now become CrewBrain GmbH - with this step we could successfully complete the change to CrewBrain within the last month.

Epirent synchronisationThe company Epi development from Berlin has equipped its rental management software Epirent with an API interface some time ago. In this way, it is now possible for the first time to access the data stored in Epirent directly from CrewBrain. |

Activate synchronisationIn order to use the synchronisation, it must be activated in the settings under Interfaces > Epirent. The necessary settings for mapping the Epirent services to the CrewBrain categories can also be made in this mask. |
Data transferFrom Epirent, orders are taken over as main jobs or projects and optionally the service items from the individual chapters as sub-jobs. It is also possible to synchronise the staff data from Epirent. |
PreconditionsThe preconditions can be used to control which orders are to be taken over to CrewBrain. For example, it is possible to accept only confirmed orders or to exclude pure rental orders. |
Take over staffOptionally CrewBrain can also take over requested or booked staff from Epirent. Because there are some points to consider, it makes sense to contact our support if you want to use this feature. We can then set up the interface together with you. |
Statement & time recordingFor accounting and time recording there are again some important changes in this version. For example, fixed-term contracts are now possible and the system can also manage holidays from different countries or states. |

Fixed-term contractsCrewBrain is now also able to manage temporary employment contracts. For this purpose we have added a corresponding option to the statement periods, with which a period can be marked as limited. If the employee concerned is to be scheduled in a job which is after this date, the scheduler is informed accordingly. In addition, the system automatically sends a notification to the administrators when the time limit expires. |
Official holidays for different countriesIn future, different categories can be created for official holidays (settings > official holidays). For example, official holidays for different countries or states can be stored in the system. These are then assigned to the employees based on their local branch they are working for. |
BranchesSimilar to the departments it is now also possible to manage different branches of your company in CrewBrain. Each employee can be assigned to exactly one branch and for each branch it can be stored which official holidays should apply to this branch. This feature is currently only available in our XL tariff. |

Emergency contactsThere is a new right for emergency contacts, which regulates access in acute emergencies. This right could, for example, be assigned to all employees, who would then be shown in the profile of another employee whether emergency contacts are stored. In acute emergencies, the information can then also be called up by these employees, but in this case the administrators and the person concerned are automatically notified in order to prevent misuse and to log access in accordance with the EU GDPR. |
API ExtensionsIn addition to the synchronisation to Epirent, we have also extended our own API. Among other things, all objects of the new task management (tasks, lists & folders) have been integrated, so that tasks can also be created and changed completely via the API. A detailed description of the new endpoints can be found in our API reference. |
CSV- and Excel exportWe have adjusted the export options for CSV and Excel in some places. In addition to the possibility of splitting information over several columns, the export of the employee list can now also be configured individually. |

Employee listUnder base data > employees (also applies to freelancers and subcontractors) the CSV export can be configured individually in the future. You can define which values are to be output before the export. |
Split columnsIn the settings (general > export settings), you can specify whether the employee name or date and time are to be written in one field or in two fields of the export. Depending on the further use of the data, you will thus have better access to the information. |
Personnel planThe personnel plan is now fully formatted (when exported as an Excel document). This means that the colours for requested, entered and booked are also completely displayed in the Excel export. |

Further optimisationsAlso in this version there are, as usual, some minor optimizations, which we do not want to leave unmentioned. |

Assign tasksA new right allows employees to prohibit the assignment of tasks to other employees. In this way, employees can only assign tasks to themselves, but not to other employees. |
Mileage allowanceFor travel expenses, it is possible to activate individual mileage allowances per kilometre in the settings. You can then store mileage allowances that differ from the statutory rate in the employee's statement periods. |
DashboardIn the dashboard, the last used dashboard is now always called up when the menu item "Dashboard" is clicked. |
GigPlaner becomes CrewBrainAlready in April we introduced the new name "CrewBrain" for our software. However, "GigPlaner" was still included in the name of our company. We were also able to change this point last month, thus formally completing the change to CrewBrain: The GigPlaner UG became CrewBrain GmbH with effect from 07.10.2020. |

New legal formAs part of the name change, we have also changed the legal form. The former UG (small limited liability company) has therefore been transformed into a GmbH (limited liability company). We are pleased to be able to send a positive signal with this step, especially in the current situation, and of course we would also like to thank our customers who made this step possible in the first place. |
ContractsThe change of name and legal form has no effect on our contracts. These remain valid, as only the name has changed, but not the company itself. There is nothing for our customers and business partners to do other than update our name in their own databases. |
